Booking & Cancellation

All sessions must be scheduled directly with your assigned trainer. Cancellations or rescheduling must be made at least 24 hours in advance via phone, WhatsApp. Late cancellations or no-shows will result in full charges.

Validity

Packages are valid from the date of purchase, unless otherwise stated.

• Packages of 10 sessions are valid for 60 days from the date of purchase.
• Packages of 11 to 20 sessions are valid for 90 days from the date of purchase.
• Packages of 21 sessions or more are valid for 180 days from the date of purchase.
• Please note any unused sessions after the expiry period will be lost and cannot be refunded or carried over.

Lateness & Absences

Clients arriving late will only receive the remaining session time. Trainers will wait 15 minutes for late arrivals. Advance notice of trainer/client absences should be given where possible.

Payment & Refunds

Payment must be made in advance. All sessions are non-refundable and non-transferable.

Good Health & Indemnity

All participants attend at their own risk. By attending, clients confirm they are in good health and fit to participate in physical activity. Clients must inform the trainer of any medical conditions before beginning sessions. Evolve Wellness takes all reasonable measures to ensure safety but is not liable for any personal injury, loss, or damage during participation. Clients agree to indemnify Evolve Wellness against any claims resulting from participation.

Privacy

Your data is stored and used solely for service provision. We comply with applicable Qatar data protection laws.

Group Classes

Minimum Participants

Group classes require a minimum of 3 participants unless stated otherwise.

Booking and Payments

Class bookings are subject to availability and must be paid in advance of the class starting.

Image Rights

Photos/videos may be taken during sessions. By attending a group class, you consent to the use of your image for promotional purposes.

Refunds and Transfers

Sessions are non-refundable and non-transferable.

Good Health & Indemnity

Events

Booking & Confirmation

To confirm any event, workshop, or session facilitated by Evolve Wellness, advance written confirmation and full payment are required, unless otherwise agreed in writing. This ensures commitment of resources, including venue, facilitators, and third-party suppliers.

Cancellations & Rescheduling

Cancellations made more than 72 hours prior to the scheduled event may be eligible for a credit transfer to a future date, subject to availability and approval by Evolve Wellness. Refunds are not offered. Cancellations made within 48 hours will result in full charges being applied, as associated costs (venue, third-party vendors, facilitators, materials) would already have been incurred. If Evolve Wellness has made payments to third-party suppliers or venues on behalf of the Client, and such payments are non-refundable, the Client remains liable for these charges in full, regardless of cancellation notice. Evolve will provide supporting documentation upon request.

Evolve-Initiated Changes

Evolve Wellness reserves the right to reschedule or cancel any event due to unforeseen circumstances, including but not limited to facilitator unavailability, force majeure, or venue complications. Advance notice will be given, and alternative dates or credit options will be offered to the Client.

Third-Party Suppliers & Venues

Where events involve third-party suppliers or external venues (e.g. yoga mat rentals, AV equipment, hotel spaces), Evolve Wellness will contract and cover these services directly, unless explicitly stated otherwise in the proposal. Any damage caused by participants to such venues or hired equipment will be charged back to the Client.

Event Conduct & Safety

By attending the event, all participants agree to adhere to the rules, guidelines, and safety protocols set by Evolve Wellness and the event venue. The Client is responsible for ensuring their employees' compliance during the event.

Photography & Media Consent

Evolve Wellness may capture photos or video footage during the event for promotional purposes (social media, website, or marketing materials). Attendance implies consent unless the Client formally opts out in advance.

The following terms and conditions govern all use of the Evolve website and all content, services and products available at or through the website (taken together, the “Website”).

The Website is owned and operated by Evolve Wellness L.L.C (the “Company”). The Website is offered subject to your acceptance without modification of all the terms and conditions contained herein and all other operating rules, policies and procedures that may be published from time to time on the Website (taken together, the “Agreement”).

If you do not agree to all the terms and conditions of this Agreement, then you may not access the Website or use any services. The Website is available only to individuals who are at least 13 years old.

The Website and its content do not constitute and are not intended to constitute health, fitness or wellness advice and do not establish and patient-client relationship. If you need medical advice, please contact a suitably qualified health professional directly. The Company does not make any warranty about the validity of the content, despite its best efforts to keep the content up to date and as accurate as possible.

Indemnification

You agree that the Company, and any parents, subsidiaries, officers, employees or third-party contractors cannot be held responsible for any third-party claim, demand or damages, including reasonable lawyers’ fees, arising out of your use of this Website.

Applicable Law

This Agreement shall be governed in all respects by the substantive laws of the State of Qatar. Any controversy, claim, or dispute arising out of or relating to the Agreement shall be subject to the jurisdiction of the competent courts of the State of Qatar.
